Call intelligence system

Every sales call is prepped by an agent, turned into structured CRM fields afterwards, and added to a won/lost corpus that answers messaging and competitor questions in Slack.

1Is this my problem?

Valuable detail from sales calls never reaches the CRM, so forecasts, handoffs and messaging rest on memory.

You'll recognise this if…

  • Opportunity fields are blank or say "TBD".
  • New reps learn objections by trial and error.
  • Leadership asks "why did we lose?" and nobody has a data-backed answer.
Cost of doing nothingPipeline reviews run on opinion and the same objections are lost again each quarter.
Companies affectedSales teams of 3-30 reps recording calls in Gong, Zoom or similar, typically Series A onward with a CRM that matters for forecasting.

2Is this solution worth it?

Limits and when not to build it

Skip if you run fewer than ~20 recorded calls a week or don't have consent to record.

Guardrails it needs

  • Recording consent per region.
  • Reps can edit any extracted field.
  • Corpus is curated, not every call.

3How does it work?

The agency builds you one internal tool, Call Brain, that runs the whole process. Watch it work on a sample case:

Most of it is ordinary automation. AI agents handle 3 of 5 steps, and people approve at no checkpoints.

When deals close, the outcome is attached to their transcripts, so the corpus and the prep prompts get better with every win and loss. Rep edits to extracted fields are logged as corrections.

    Maturity ladder

What each level adds. Most teams start at level 1 or 2 and climb. Highlighted: where this build sits.

    1. Level 1Basic automation

Calls are recorded; reps type notes by hand.

    2. Level 2AI-assisted

An LLM summarises each call into the CRM notes field.

    3. Level 3Autonomous agent

Agents prep each call, extract typed fields, write them back and answer questions from the won/lost corpus.

    4. Level 4Self-learning system

Closed outcomes are attached to transcripts, so prep prompts and corpus answers improve with each deal.

    Questions

What is the call intelligence system?

Every sales call is prepped by an agent, turned into structured CRM fields afterwards, and added to a won/lost corpus that answers messaging and competitor questions in Slack.

    Who is this for?

Sales teams of 3-30 reps recording calls in Gong, Zoom or similar, typically Series A onward with a CRM that matters for forecasting.

When should we not build it?

Skip if you run fewer than ~20 recorded calls a week or don't have consent to record.

How does it improve over time?

When deals close, the outcome is attached to their transcripts, so the corpus and the prep prompts get better with every win and loss. Rep edits to extracted fields are logged as corrections.

    What keeps it safe?

Recording consent per region. Reps can edit any extracted field. Corpus is curated, not every call.

    Who runs something like this?

What does it cost to build?

Our rough estimate for a first production version with an agency: $10k–$35k over 6-12 weeks, plus tool and model usage.
