How to write a brief for an automation or AI project
Updated 2026-10-22
Short answer: A good brief describes the task today, the tools involved, how often it happens, and what success looks like. One page is enough. Agencies can then quote faster and more accurately.
The one-page template
- The problem: what task takes too long or goes wrong today?
- Who does it now, and how often (per day or week)?
- Which tools are involved (CRM, email, spreadsheets, accounting)?
- What should happen automatically, and what should a person still check?
- What does success look like (for example, hours saved, faster replies)?
- Budget range and ideal timing.
- Any rules about data (where it can be stored, who can see it).
Tips
- Include a real example, such as a sample email or form, with private details removed.
- Say what you have already tried.
- Mention who will own the system after launch.

Questions
Do I need technical details?
No. Describe the work in plain words. The agency will work out the technical side.
Should I share my budget?
A rough range helps agencies suggest the right size of solution rather than guessing.
